Job description

Our company is in search of an Office Manager for our Vilnius location. The role is a new function within the Lithuanian team and will be responsible for keeping the office functional and comfortable by supervising the maintenance and alteration of office areas and equipment, layout, arrangement, and housekeeping of office facilities

This person will serve as the focal point for all things office-related. This includes proactively managing the office's day-to-day operations, supervising outside service vendors, handling maintenance issues and requests, ordering supplies, coordinating deliveries, sorting mail, and working with third party vendors.

This person will work closely with Department Managers and Senior Management to centralize administration functions.

Primary Functions:

▪ Performs and streamlines administrative duties of a diversified nature.

▪ Builds strong partnerships with all constituents. Ensures superior level of day to day management of administration support to deliver exceptional support to the business.

▪ Works with an appropriate level of independence to solve issues and escalates timely to the appropriate internal constituents.

▪ Arrange/schedule meetings and appointments, and make travel arrangements for Senior management or corporate event attendees.

▪ Manage, follow up and expedite completion of specially assigned projects/tasks with a high degree of autonomy.

▪ Is a thought leader and actively seeks opportunities to improve the infrastructure and builds consensus around solutions.

▪ Accounts Payable Duties: record, reconcile and pay vendor invoices.

▪ Performs monthly reconciliations of various balance sheet accounts as well as bank reconciliations.

Requirements

· 3+ years of Office Managerial experience; ideally in a Bank or Law firm or related area.
· Bachelor degree or higher in Law, Administration, Management or related field.
· Demonstrate self-confidence, high level of energy, enthusiasm and motivation through actions.
· High integrity, honesty, reliability.
· Ability to multi-task, prioritize and work in a fast-paced environment.
· Ability to manage time well, meet imposed deadlines and be flexible.
· Ability to work under little or no supervision.
· Innovative and change driven with a high sense of urgency.

· Strong communication skills – both oral and written (business writing necessary).

· Fluent English and Lithuanian at B2- C1 level, other languages are a plus
