As a Senior Operations Specialist, you will be responsible for ensuring that investment service operations function reliably and consistently on a day to day basis. The role requires strong ownership of operational processes, close attention to detail, and the ability to manage execution across systems, timelines, and stakeholders. Working closely with internal teams and external partners, you will ensure that operational matters are handled end to end, allowing the business to operate smoothly. In addition to day-to-day execution, you will also contribute to the development and improvement of operational processes, helping shape how the function evolves as the business grows.
Key Responsibilities
- Take overall ownership of investment services operations, ensuring they function smoothly and consistently on a day to day basis.
- Manage the full operational lifecycle, from client onboarding through ongoing service delivery, across systems, documentation, and timelines.
- Act as the primary owner of the firm’s portfolio and wealth management system, including client and portfolio setup, investment data maintenance, user access administration, and ensuring the system remains accurate, reliable, and operationally effective on a day to day basis.
- Act as the central coordination point between internal teams, ensuring operational matters move forward without fragmentation.
- Work directly with external partners (including service providers), handling operational communication, requests, and required documentation.
- Identify operational gaps or inefficiencies and ensure practical solutions are applied, improving how processes work in practice.
- Maintain operational continuity so that day to day issues are resolved within the function and do not require unnecessary management involvement.
- Support compliance related operational requirements (e.g. KYC) as part of the broader service delivery process.
Requirements
- Significant hands on experience in operations focused roles within investment management, asset management, fund administration, banking, or related financial services environments.
- Strong understanding of investment service operations, including client onboarding, documentation, ongoing service delivery, and interaction with external counterparties.
- Hands-on experience working with portfolio or wealth management systems.
- Proven ability to take end to end responsibility for how operational processes work in practice.
- Experience working with multiple stakeholders (e.g. legal, finance, IT, banks, service providers) and coordinating execution across functions.
- Ability to manage execution independently, ensuring accuracy, timeliness, and clear follow through.
- Strong attention to detail combined with the ability to see and manage the full operational picture.
- Comfortable handling operational requirements related to compliance and KYC as part of broader service delivery.
- Strong organizational skills and the ability to prioritize and resolve operational matters effectively.
